Scope

These terms apply to website use, creating a member account, submitting abstracts, and purchasing tickets for BeSOMS events.

Registrations & tickets

• A registration is only final after payment is received.
• Payments and invoices are issued via RBSS (rbss.be).
• You receive an email confirmation once the registration is final.
• For group bookings, the confirmation can be sent to the group lead or individual delegate, depending on the correspondence email provided.

Prices & payments

• Prices on the website are VAT inclusive.
• Payments must be received no later than 3 working days before the event starts.
• If payment is late, the ticket is not valid; onsite payment at the regular rate will be required.

Cancellation & refunds

• Cancellations must be requested by email to besoms.info@gmail.com.
• A 100% cancellation policy applies; refunds are generally not provided.
• Registrations are confirmed only after payment is received.
• For individual bookings, the participant receives a confirmation email when final. For group bookings, confirmations can go to the group lead or individual delegates, based on the correspondence email.

Event changes

The organisation may change the program or venue up to the start of the event. Program changes do not entitle participants to a refund. If the venue changes after purchase, the buyer may request a free cancellation via besoms.info@gmail.com.

Code of conduct & access

Respectful, professional behaviour is expected. The organisation may refuse access or remove individuals in cases of abuse, disruptive or discriminatory behaviour, or violations of safety or house rules.

Liability

The organisation is not liable for indirect or consequential damages. Nothing in these terms excludes liability for intent or gross negligence where prohibited by law. Participants are responsible for appropriate insurance for travel/medical/professional risks where applicable.

Intellectual property

All submitted abstracts, texts, and presentations must comply with Belgian and European rules on privacy, copyright, and related rights. By sharing materials, you grant BeSOMS a limited licence to use them for programme materials, communications, and reporting on the event.

Data & privacy

Personal data is processed according to our Privacy Policy. We work with processors such as Supabase (auth/database), Cloudflare Turnstile (form security), and Pebbl (invoicing) when active. See the policy for details and your rights.

Complaints & disputes

Complaints can be sent by email to besoms.info@gmail.com. Belgian law applies; disputes fall under the competent courts in Belgium.
